One phone on the counter does not scale to five people

Five employees and one public WhatsApp number is a coverage problem. The closer holds the handset until lunch. The person on Friday is whoever did not take last Friday. After eight, the chat sits until someone unlocks a drawer. Linking another phone does not name an owner.

Shops land here without deciding to. The number is on the glass, the invoice, and the Instagram bio. Customers already saved it. Changing the number so a second person can “have WhatsApp” is how you lose the thread. Hiring a fifth person without a queue is how you get two replies — or none — on the same booking.

Meta’s multi-agent FAQ documents a default of four linked devices on the WhatsApp Business app, or up to ten with Meta Verified. Five employees already sit past the default if each person wants a companion phone. Paying for Meta Verified to unlock ten devices still leaves you inside WhatsApp’s own app: same account, extra screens, a primary phone that must stay alive. It does not give you a workspace permission, a history that survives a lost handset, or a rule for who owns Friday.

The short product distinction is WhatsApp multi-agent versus a workspace. Stay on Meta’s product if one person still owns every chat and you only need a second screen. Use a workspace if five people have to cover one published number without passing a PIN around the shop.

Device count answers “how many screens are signed in.” Friday answers “whose job is the 4pm booking when the usual closer is off.” After-hours answers “does the chat sit until morning, or does the person on duty see it on a laptop at home without taking the shop phone.”

A workspace login lets the five people see the same queue. Someone assigns the thread — or it sits in the unassigned list instead of a pocket notification. A private note travels with the conversation so the Saturday opener does not start from “did anyone tell them we have a slot?” Customers still write the number on the door. They do not see the assignee.

Honest limits

What a fifth companion device still will not do

A linked phone is still WhatsApp’s app. If the primary handset is unused for more than 14 days, companions disconnect. If the person who “has the number” leaves the company, you are recovering an account, not a queue. If two of the five people open the same unread chat, Meta’s device list does not stop both of them hitting send.
