A lead writes the number on the portal listing: two-bed, marina view, this week. Two agents see the unread tick. Both send a viewing slot. The lead now has 5pm and 6pm, and the desk has an argument. That is a WhatsApp ownership problem, not a missing property database.

Agencies already run a CRM for listings, mandates, and offers. What they often lack is a queue for the first WhatsApp. The number is public. The phone is personal. The note is in someone’s head. Who owns the lead

Unassigned is a desk problem. A name is the fix.

New listing chats land unassigned until someone takes them — or Growth round-robin spreads them so they do not all sit on the first agent who opened the tab. A private note records what was offered: Thursday 11, parking included, waiting on the landlord. The next person reads the note instead of sending a second, different slot.

The same person often writes WhatsApp first and Instagram or email next. Once those channels are connected, they can sit in the same workspace with the same owner. You do not have to connect them on day one. InboxBay does not replace Instagram or WhatsApp.

A listing week

From the portal click to a single viewing time

The inquiry starts on the listing. The number is the agency number, not an agent’s personal line — if you used personal lines you would not be reading a shared-inbox page. The chat lands unassigned. The floor rule should be: take it or let round-robin (Growth) take it, then write the slot you offered in a note.

If a second agent opens the same unread, collision detection on Growth shows that someone is already viewing. That is how you avoid 5pm and 6pm in two bubbles. If the listing needs a specialist, reassign. The history stays. The customer still writes the same number. They do not see the handoff.

Later in the week the same lead may write Instagram or email. Connect those channels when you want them in the same queue. Until then, WhatsApp alone is a complete first step. Can several agents share one WhatsApp number for listing inquiries?

Yes. Connect the Business number on the listing. Agents sign in to the workspace. Each inquiry gets a named owner so two people do not send two viewing times.

Does InboxBay sync to our CRM?

Not as a live product we will sell on this page. We do not claim a HubSpot, Salesforce, or property-CRM sync. The owner, note, and thread live in the inbox today.

Who owns the lead?

Whoever you assign. Unassigned inquiries stay in the queue instead of a personal phone. Round-robin on Growth can spread new chats. Reassign when a listing specialist should take it. The customer still writes the same number.

What if the same lead writes Instagram next?

Once Instagram is connected, that DM can sit in the same workspace with the same owner and notes. You do not have to connect it on day one. InboxBay does not replace Instagram.

Is this a property CRM?

No. It is a shared inbox for the chats that already start on WhatsApp. Listings, mandates, and offer pipelines stay in the system you already use.
