Estimates from your numbers

WhatsApp team cost calculator

Two calculators on one page. Team cost turns the hours and hourly AED you type into a monthly labor figure. Agents needed uses chats, minutes, and hours. Nothing here is an industry average. Meta WhatsApp fees are extra and not included.

Outputs are estimates from the figures you entered. Meta fees are not in the math.

Team cost — from the figures you enter

Monthly labor is agents × hours per week × hourly AED × 52 ÷ 12. The 52 ÷ 12 step converts a weekly figure to a month using calendar weeks, not an industry average. Every output is labeled as coming from the figures you typed.

Agents needed — from the figures you enter

Formula: agents = ceil((chats per day × minutes per chat) ÷ (hours per agent per day × 60)) × coverage. Coverage is 1 on this page because you entered one days/week figure for both volume and each agent’s hours. Days/week is shown so you can see weekly minutes; it does not invent a second shift.

Used for weekly minutes. Coverage stays 1.

Method

Only your inputs, plus calendar arithmetic

We will not invent how many chats a “typical” shop gets, how long a chat “usually” takes, or what close rate “the industry” sees. If a box is empty, that output stays blank. If you type a number, the formula uses that number.

Monthly labor = agents × hours per week × hourly AED × 52 ÷ 12. The 52 ÷ 12 step turns a weekly labor figure into a month using weeks in a year and months in a year. It is not a utilization benchmark. Optional tool cost is added only when you type one. Optional missed revenue is missed chats per week × 52 ÷ 12 × average job value × close rate %. Leave any of those three blank and we do not estimate missed revenue.

Agents needed = ceil((chats per day × minutes per chat) ÷ (hours per agent per day × 60)) × coverage. Coverage is 1 on this page. You entered one days/week figure; we will not invent a second shift pattern. Days/week is used to show weekly minutes (daily load × days). It does not quietly change the headcount formula.

InboxBay list prices — Starter AED 499, Growth AED 999, Business AED 1,999 per workspace / month — are printed next to your labor so you can look at them. They are not computed from your inputs. Plans are per workspace, not per seat. The first 7 days are a trial. Checkout is on Ziina. Full cards live on pricing.

Not in the math

Meta WhatsApp fees, and everything else we will not guess

Meta bills WhatsApp per delivered template or marketing message. Conversation-based pricing was deprecated as of 1 July 2025. InboxBay does not collect those fees and does not mark them up. The calculator does not add a Meta line, because your template volume and Meta’s current rate card are not numbers you typed here.

The calculator also does not assume InboxBay will shorten minutes per chat, lift close rate, or recover missed chats. Those would be usage claims we do not have. If you want the product those list prices buy — assignment, notes, labels, saved replies, collision on Growth, round-robin on Growth — read the WhatsApp shared inbox. AI suggested replies are coming soon. A person still sends.

InboxBay connects to WhatsApp Business. It does not replace it and is not a BSP. The inbox is a Chatwoot MIT core plus an InboxBay overlay. Demo: demo.inboxbay.work. Buying fit for a 2–8 person shop: best WhatsApp shared inbox for small business. We do not invent WATI or respond.io prices; those compare pages say the same.

Every calculated figure on this page is an estimate from the numbers you typed. InboxBay list prices are published prices, not calculator outputs. Meta WhatsApp fees are extra and not included.

How to read the two blocks

Labor is not headcount. Headcount is not a promise.

The first calculator answers “what does this WhatsApp line cost in labor this month, from the hours I typed?” It will not tell you that InboxBay reduces those hours. If you type five agents, forty hours, and AED 35, the monthly labor line is that product times 52 ÷ 12. Change an input and the line changes. That is the whole claim.

The optional tool field is for a subscription you already pay, in AED per month. If you leave it blank, we do not invent one. If you fill it, we add it to labor and also show labor plus each InboxBay list price so you can look at both. We still do not say “you will save X.”

The optional missed-revenue block only runs when you type missed chats per week, an average job value, and a close rate. It multiplies those three. It does not pull a UAE conversion benchmark. If you do not know those numbers, leave them empty. A blank estimate is more honest than a fake one.

The second calculator answers “how many people does the volume I typed need on a working day?” If you type forty chats, eight minutes, and eight hours, the daily load is 320 minutes and the capacity is 480, so ceil(320 ÷ 480) × 1 is one agent. If you type eighty chats, the load is 640 and the result is two. Days per week is shown so you can see weekly minutes. Coverage stays 1. We will not invent a weekend-shift multiplier you did not enter.

Use the results next to the published plans and the small-business buying guide. Five-person coverage — Friday and after-hours — is a different page: how five employees use one WhatsApp number. InboxBay connects to WhatsApp Business. It does not replace it.

FAQ

Straight answers

Where do the calculator numbers come from?

Only from the figures you type, plus calendar math (weekly × 52 ÷ 12 for a month, and ceil for headcount). There is no industry-average constant hiding in the formula. Every output is labeled as an estimate from the figures you entered.

What does the team-cost calculator output?

Monthly labor (agents × hours/week × hourly AED × 52 ÷ 12), plus your optional current tool cost, plus an optional missed-revenue estimate if you fill missed chats, job value, and close rate. InboxBay Starter / Growth / Business list prices (AED 499 / 999 / 1,999) sit next to that math. They are not derived from your inputs.

How does “agents needed” work?

agents = ceil((chats per day × minutes per chat) ÷ (hours per agent per day × 60)) × coverage. Coverage is 1 here because you entered one days/week figure for both volume and each agent. Days/week is shown so you can see weekly minutes.

Are Meta WhatsApp fees included?

No. Meta bills template and marketing messages. InboxBay does not collect or mark those fees up. The calculator never adds a Meta fee, because we will not invent your volume or Meta’s rate card.

Is this a promise that InboxBay will save that money?

No. It is arithmetic on the numbers you typed. We do not invent usage data or a conversion lift.

Do I need to create an account to use it?

No. The two calculators run on this page. The demo at demo.inboxbay.work is separate, if you want to see the workspace.

Who pays Meta’s WhatsApp message fees?

Meta bills WhatsApp per delivered template or marketing message. Conversation-based pricing was deprecated as of 1 July 2025. InboxBay does not collect or mark up Meta’s fees. You keep the WhatsApp Business number.
